Job Summary
We are seeking a detail-oriented and proactive HR Admin Officer to manage and oversee key HR operations, including PF and ESIC compliance, employee onboarding, documentation, and letter drafting. The ideal candidate will also be proficient in Excel for maintaining HR records and generating reports. Additionally, the role requires performing any tasks assigned by clients or as required to meet client-specific needs.
Key Responsibilities
Compliance and Statutory Tasks
- Manage Provident Fund (PF) and Employee State Insurance Corporation (ESIC) processes, including registration, monthly contributions, and claims.
- Ensure compliance with labour laws and regulations in all HR activities.
Joining, Onboarding, and Documentation
- Oversee the joining formalities for new hires, ensuring all required documents are collected and verified.
- Conduct smooth employee onboarding, including orientation and introduction to company policies.
- Maintain and update employee records, both physical and digital, ensuring confidentiality.
Letter Drafting and Employee Communication
- Prepare and issue various employee letters, including offer letters, appointment letters, confirmation letters, experience letters, and relieving letters.
- Draft and communicate policies, notices, and other internal communications as required.
Excel and HR Data Management
- Maintain employee databases using Excel, including functions like data analysis, pivot tables, and VLOOKUP.
- Generate reports related to attendance, payroll, and employee engagement metrics.
Employee Relations and Support
- Address employee queries regarding benefits, policies, and processes in a timely manner.
- Assist in handling grievances and resolving issues in coordination with the HR Manager.
Client-Specific Responsibilities
- Perform any additional tasks or responsibilities assigned by clients or as required to meet client-specific needs.
Key Requirements
Experience
- Minimum of 1–3 years of experience in HR and administration roles.
Technical Skills
- Proficiency in handling PF and ESIC processes.
- Advanced knowledge of Microsoft Excel for data management and reporting.
Soft Skills
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- High level of integrity and ability to handle sensitive information.
Educational Qualification
- Bachelor’s degree in human resources, Business Administration, or a related field.
