Job Summary
We are seeking a courteous, detail-oriented, and organized Receptionist to join our clinic. As the first point of contact for patients seeking dermatological care, you will play a vital role in providing exceptional customer service and ensuring the efficient operation of our clinic.
Responsibilities
- Patient Check-In/Check-Out: Welcome patients to the clinic, assist them with check-in procedures, verify personal and insurance information, and ensure all necessary forms are completed accurately. Assist patients with check-out procedures, schedule follow-up appointments, and collect payments as needed.
- Appointment Scheduling: Manage the appointment schedule for dermatologists and other clinic staff, ensuring efficient use of time and appropriate allocation of resources. Coordinate scheduling changes, cancellations, and rescheduling requests.
- Phone and Email Communication: Answer incoming phone calls and respond to emails promptly and professionally. Provide information about clinic services, appointment availability, treatment options, and general inquiries. Relay messages to appropriate staff members in a timely manner.
- Patient Support: Provide assistance and support to patients throughout their visit, including directing them to the appropriate waiting area, answering questions about clinic procedures, and addressing concerns or issues with empathy and professionalism.
- Medical Records Management: Maintain accurate and up-to-date patient records in electronic health record (EHR) systems. Ensure all documentation is complete, organized, and compliant with regulatory requirements.
- Insurance Verification: Verify patient insurance coverage, eligibility, and benefits prior to appointments. Explain insurance-related information to patients, including copays, deductibles, and coverage limitations.
- Clinic Maintenance: Keep the reception area, waiting room, and common areas clean, organized, and stocked with necessary supplies. Coordinate maintenance and repairs as needed to ensure a safe and comfortable environment for patients and staff.
- Collaboration: Work collaboratively with nurses, medical assistants, and administrative staff to ensure seamless patient care and clinic operations. Communicate effectively with team members to coordinate patient appointments, referrals, and follow-up care.
Requirements
- High school diploma or equivalent; additional education or training in medical office administration or related field is preferred.
- Previous experience working as a receptionist or in a customer service role, preferably in a healthcare setting. Experience in a clinic or medical office is a plus.
- Excellent communication and interpersonal skills, with a friendly and professional demeanour. Ability to interact with patients, visitors, and staff members in a courteous and respectful manner.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficiency in using computer systems, electronic health records (EHR), and basic office software applications.
- Knowledge of medical terminology, dermatological conditions, and common treatments is desirable.
- Reliable and punctual, with a commitment to providing outstanding service and support to patients and colleagues alike.
