Purchase Department – Fasteners Industry
Function: Procurement & Supply Chain
Reports To: Head – Purchase
1. Strategic Procurement Planning
Develop and implement purchase strategies for raw materials, fasteners, components and consumables.
Plan sourcing mix between local and import suppliers to optimize cost, lead time, and risk.
Align procurement plans with production forecasts, sales plans, and inventory norms.
Identify critical items and ensure alternate sourcing to mitigate supply risks.
2. Vendor Identification & Development
Identify, evaluate, and onboard qualified suppliers for raw materials and fasteners.
Conduct vendor capability assessments covering quality, capacity, certifications, and financial stability.
Develop new vendors for cost reduction, localization, and risk mitigation.
Maintain an Approved Vendor List (AVL) and update it periodically.
3. RFQ, Negotiation & Purchase Order Management
Float RFQs and obtain competitive quotations from approved suppliers.
Evaluate quotes based on price, lead time, quality, payment terms, and logistics.
Negotiate commercial terms to achieve cost competitiveness and savings.
Release purchase orders (POs) accurately as per approved specifications and terms.
4. Import Procurement Management
Manage import sourcing for critical raw materials and special fasteners
Coordinate with suppliers, freight forwarders, and internal teams for imports.
Monitor import lead times, shipment tracking, and customs clearance.
5. Local (Domestic) Procurement Management
Handle procurement from domestic suppliers ensuring optimal lead time and cost.
Coordinate logistics, transportation, and delivery schedules.
Ensure compliance with GST, e-invoicing, and statutory requirements.
Monitor local supplier performance on delivery, quality, and responsiveness.
6. Quality & Compliance Coordination
Ensure all purchased materials meet technical specifications, drawings, and standards.
Coordinate with QA for incoming inspection, supplier audits, and corrective actions.
Manage supplier quality issues, rejections, replacements, and root cause analysis.
7. Inventory & Material Control
Maintain optimal inventory levels as per MOQ, safety stock, and consumption.
Prevent overstocking, obsolescence, and material shortages.
Support FIFO implementation and batch traceability.
Coordinate with stores and production for material planning and availability.
8. Cost Control & Savings
Drive cost reduction initiatives through negotiation, alternate sourcing, and localization.
Track purchase cost variance against budgets.

Monitor supplier KPIs (quality, delivery, cost, service).
Build long-term partnerships with strategic suppliers.
11. Cross-Functional Coordination
Work closely with Production, QA, Planning, Finance, and Logistics teams.
Support sales and customer commitments by ensuring material readiness.
12. Risk Management & Business Continuity
Identify supply risks related to single sourcing, imports, and geopolitical factors.
Maintain contingency plans for critical materials.
Ensure business continuity through alternate suppliers and buffer stocks.
