Job Summary
The Front Desk Administrator serves as the first point of contact for clients, vendors, and plant personnel. This role requires a balance of professional customer service and , fast-paced industrial environment. You will manage communications, assist with logistics, and ensure that administrative workflows support the production schedule.
Key Responsibilities
1. Communication & Reception
First Impression: Greet visitors, clients, and delivery drivers, ensuring they follow all safety protocols (safety glasses, vests) before entering the shop area.
Switchboard Management: Route incoming calls to the correct departments (Estimating, Production, Shipping).
Mail & Logistics: Handle all incoming/outgoing mail and coordinate with couriers like FedEx, UPS, or freight LTL carriers.
2. Order Entry & Production Support
Job Processing: Input new work orders into the ERP or shop management software.
Data Entry: Maintain accurate records of heat numbers, material certifications, and batch logs.
Documentation: Assist in organising Mill Test Reports (MTRs) and Certificates of Conformance for outgoing shipments.
3. Administrative & Financial Duties
Purchasing Assistance: Create Purchase Orders (POs) for shop supplies, raw materials, or tooling as requested by the Shop Foreman.
Invoicing: Process packing slips and verify they match the original POs to assist the accounting department.
Timekeeping: Help track employee hours or check-in logs for shop floor staff.
4. Safety & Compliance
Required Skills & Qualifications
Experience : 5-10 years in an administrative role, preferably in manufacturing or Metals industry.
Tech Savvy : Proficiency in Microsoft Office (Excel is a must) and experience with ERP software (like Global Shop, JobBOSS, or Plex).
Communication : Ability to communicate clearly over the sound of heavy machinery and handle "straight-talking" industrial staff.
Organization : High attention to detail; a single typo on a material cert can reject a whole shipment.
Physicality : Ability to sit for long periods, but also comfortable walking onto a shop floor that may be hot, loud, or dusty.
