Field Officer is responsible for the smooth and efficient management of security guards and housekeeping staff deployed at various client locations. The Field Officer acts as a link between the company, employees, and clients and ensures proper manpower deployment, discipline, attendance, service quality, and client satisfaction.
Key Duties and Responsibilities
1. Site Visits and Inspection
- Conduct regular visits to all assigned client locations.
- Check whether security guards and housekeeping staff are present and performing their duties properly.
- Inspect employee uniforms, grooming, ID cards, and overall discipline.
- Ensure that employees follow the instructions and Standard Operating Procedures (SOPs) of the company and client.
- Submit regular site inspection reports to management.
2. Attendance and Manpower Management
- Monitor the daily attendance of security guards and housekeeping staff.
- Ensure that all employees report for duty on time.
- Maintain proper records of absenteeism, late coming, leave, and replacements.
- Arrange relievers or replacement employees in case of absence, leave, resignation, or emergency.
- Ensure that no duty point remains unattended due to manpower shortage.
3. Security Guard Supervision
- Ensure that security guards perform their assigned duties properly.
- Check gate registers, visitor registers, vehicle entry and exit records, material inward and outward registers, and other relevant records.
- Ensure proper checking and monitoring procedures are followed at entry and exit points.
- Check whether guards are alert and vigilant during duty.
- Ensure that guards do not sleep, use mobile phones unnecessarily, consume alcohol, or leave their duty point without permission.
- Ensure proper handover and takeover between shifts.
4. Housekeeping Staff Supervision
- Monitor the cleanliness and hygiene standards at client locations.
- Check whether housekeeping staff are performing their duties as per the work schedule.
- Ensure proper cleaning of offices, washrooms, common areas, staircases, parking areas, and other assigned locations.
- Check the proper use of cleaning materials, equipment, and machinery.
- Ensure that housekeeping staff maintain personal hygiene and proper grooming.
- Report shortages of housekeeping materials and equipment to the concerned department.
5. Client Coordination
- Maintain regular communication with client representatives.
- Understand and resolve client complaints related to security or housekeeping services.
- Collect regular feedback regarding employee performance and service quality.
- Inform management immediately about any major complaint or service issue.
- Ensure that client instructions are properly communicated to the deployed employees.
6. Employee Discipline and Grooming
- Ensure that all employees wear clean and proper uniforms.
- Check whether security guards are wearing shoes, belts, caps, ID cards, and other required items.
- Ensure that housekeeping staff use proper uniforms and personal protective equipment (PPE).
- Maintain discipline among employees.
- Counsel employees regarding misconduct, late coming, absenteeism, and poor performance.
- Report serious disciplinary matters to the Operations Manager or HR Department.
7. Training and Guidance
- Provide basic on-site training to newly deployed security guards and housekeeping staff.
- Explain the duties and responsibilities of employees before deployment.
- Conduct regular briefing sessions regarding discipline, safety, grooming, client requirements, and work procedures.
- Ensure employees understand emergency procedures.
- Identify training requirements and report them to management.
8. Emergency and Incident Management
- Respond immediately to emergencies at client locations.
- Coordinate with management and client representatives during emergencies.
- In case of theft, fire, accidents, fights, medical emergencies, or other incidents, take immediate action as per company procedures.
- Prepare and submit an incident report to management.
- Ensure proper coordination with police, fire brigade, ambulance, or other emergency services whenever required.
9. Recruitment and Deployment Support
- Assist in arranging suitable candidates for vacant positions.
- Coordinate with HR for urgent manpower requirements.
- Verify whether newly deployed employees have submitted the required documents.
- Assist new employees in understanding their duty location and responsibilities.
- Ensure timely deployment of manpower as per client requirements.
